Registration Information

Please read this information first, then use the link below to go to our online registration form, or download forms you can print.

REGISTRATION POLICY!
All parents are encouraged to send registrations as soon as possible, as popular camp sessions fill VERY QUICKLY. Registrations are processed in the order the registration fee is received. We cannot reserve space over the phone.

We have converted to a new online registration system that gives parents improved access to information, forms, etc and will retain information from year to year, program to program--thanks for your patience through the transition.

PHYSICAL EXAMINATIONS
NOTE:  The standards for campers having physical exams by a physician have changed!   Now only campers registered for off-site trip camps or on-site sessions with higher degree of physical exertion are required to get a physical done.  These physicals MUST BE COMPLETED WITHIN 12 MONTHS of the start date of camp, so in most cases a physical from a prior summer will NOT be valid.  Copies of examinations received for other sports activities are acceptable. A physical form for these specific sessions is available in the confirmation materials for that camp.  You can download a physical form immediately using Adobe Acrobat.

HEALTH INSURANCE
Makemie Woods serves as a secondary carrier for accident insurance only. The individual’s own health care policy is the primary provider.

FEES
The $100 registration fee* will be applied to the cost of the camp session.  The balance of fees is due three weeks prior to the opening date of your camp session to avoid a $25 late fee. FEES MUST BE PAID IN FULL BEFORE THE CAMPER ARRIVES! If there are extenuating circumstances regarding fee payment, arrangements must be made with the registrar in advance of the deadline.   Refunds (less registration fee) will be given if cancellation is received in writing 14 days prior to the first day of the camp session.

(*In the event that the camp fee after discounts is less than $100, pay the full amount due.)

DISCOUNTS
  • “Early Bird”: For registrations received prior to April 1, there is a $10 discount.

  • Advance payment: A $10 discount is awarded if the family pays the full amount the family owes at the time of registration. (The family must owe at least half of the fee to receive this discount, after church scholarships are factored in.)

  • Active Duty Military: If either parent currently serves in the Armed Forces, the camper receives a $10 discount.  Please send a copy of the military ID with the registration.

  • Family discount: $30 for each additional camper registered from the same family. To be eligible, all registrations must be received at the same time. Family discounts will be applied to the least expensive camps. Campers who sign up for more than one session are NOT eligible for this discount.

  • First-time camper discount:   $20 discount off the fee of any session.  One per camper, please! 

FINANCIAL ASSISTANCE
Many churches give camp scholarships—please check with your church treasurer. A limited number of Presbytery scholarships are available, awarded based on need.  A $100 registration fee must accompany all requests for scholarship assistance ($50 for Beginner sessions and Test Your Wings).  Download scholarship form

BUDDIES
In large camp sessions (8 or more campers per sex), a camper can request ONE (and only one!) buddy. To insure they are housed together, the campers should
  1. sign up for the same session,
  2. request ONLY each other, and
  3. register at the same time.
Because one of the main goals of Makemie Woods is to help campers make NEW friends, we strongly discourage enrolling more than two friends in the same camp session.

CAMPER DELIVERY and PICK-UP
Registration is from 4 PM - 5 PM on the opening day of the camp session. The camper and parent should go through the registration process together.  We recommend that returning campers arrive later, such as 4:30, to help reduce congestion in the lines.

Campers CANNOT be dropped off before 4 PM, as no one is available to take care of your child.  Pick-up time is 10:00 AM on the closing day, (except for 2-night beginners/wings which close at 11 AM, and sessions ending on a Friday night  which close at 7:30 PM--This summer it is camps ending July 20). Persons who pick up their campers more than one hour late will be charged an additional childcare fee!

WHAT TO BRING
A complete what-to-bring list, as well as camper rules, the physical form, medication forms and other important information are available in our confirmation packet or if you choose, this information will be sent with your confirmation through the US Postal Service. Parents are expected to read through the complete packet and to make sure their campers understand the rules and the consequences of peaking them BEFORE they come to camp.  You can preview these materials on our downloads page.

Online Registration Help  

  • The above link takes you to instructions for using our secure server that will allow you to register all campers from the same family, process applicable discounts, download confirmation materials and required forms. 

  • You can pay with credit card, e-check (draft from your checking account), or you can send a paper check through the mail  (note: we cannot process the registration until we receive payment.  Campers processed without payment will be enrolled, but not registered.  If payment is not received within 3 business days, the camper will be removed from the list.) 

  • The online registration process includes the health history information--please be sure you have your medical insurance information available and exact date of last tetanus shot when you fill out the form.  (Or you can login later and fill it in.)

You can print  and mail forms using the free Adobe Acrobat plug-in for your browser. You must SEND both of these forms to us with your signature and your registration fee.

We must have the registration form to register your camper, we cannot reserve spaces over the phone or by e-mail.  Download the registration forms (requires adobe acrobat)

Fax is acceptable: 757-566-8803, and the registration fee MUST be paid by credit card through Paypal or be mailed immediately with the original forms at the time of the fax.  Faxed registrations will be cancelled if registration fee is not received within three working days.  Please mail or ping the original forms to camp, we must have original signatures on file in order to secure medical treatment in the event of an emergency.
